KYC checks

Launching KYC checks and tracking them

Starting checks for a batch of participants and monitoring them from one dashboard — the thing that replaces a separate compliance tracker.

Overview

KYC runs across the project, not one company, because a build-up produces checks in batches rather than one at a time. You select everyone who needs a check, set the level for each, launch, and then manage the whole batch from a single dashboard.

Before you start

The project needs shareholders. If it has none, the wizard will stop and tell you to add some first (A4.2).

Steps

  1. From the project Dashboard, select Launch KYC Checks.

  2. On Available Shareholders, select everyone who needs a check.

  3. On Choose Verification Level, set the level — Simple KYC or Internal KYC (A7.1). The level is per check, so a batch can mix them.

  4. On Ready to Launch, read the Process Summary: it states how many shareholders the process covers and lists the tracking stages.

  5. Select Start KYC Checks.

  6. You land on the KYC dashboard. Give the process a label, as you would a subscription.

  7. Invite participants using Invite / Send Email, and chase with Remind.

  8. Monitor each person's status until every check is verified.

The dashboard is the point

A batch of checks needs to be managed as a batch. Per person, the dashboard shows their status — which lets the team focus on the incomplete and outstanding cases without maintaining a separate compliance tracker.

That is the whole purpose of this stage. If your team is still keeping a parallel spreadsheet, something here is not being used.

Internal checks appear here too, but with nothing to chase — nobody was contacted, so the work is the team's own (A7.3).

Inviting and chasing

Two controls do the outbound work:

  • Invite / Send Email — sends the request. Available in bulk.

  • Remind — chases someone who has been invited and has not completed.

Note that a check has a distinct status before anyone is invited (Initialised) and another one after (Invited to Create Account), so the dashboard always tells you whether a given person has actually been contacted.

Launching the checks sends nothing. It creates them, at Initialised, and they sit there until you invite. The launch screen says so itself — "You decide when invitation emails go out — nothing is sent automatically" — so a batch that looks launched but silent is normal, not broken (A1.6).

What good looks like

Every check on the dashboard reaches Verified. Simple checks were invited, completed by the participant, reviewed and verified; internal checks were completed and verified by the team. Nothing is outstanding, and no separate tracker exists anywhere.

Common problems

"No shareholders available." The project has no shareholders. Leave the wizard, add them, and start again. This is project-level, not company-level.

A participant says they received nothing. Check their status on the dashboard. Anyone still at Initialised has not been contacted — use Invite / Send Email.

Someone was invited but has not acted. Use Remind. On a batch, chase in bulk rather than one at a time.

A check needs to go back to the participant. Mark it incomplete with a reason — A7.5.
