Creating a company from a KBIS

Creating a company by uploading its registration extract and letting the platform read the legal details from it — plus the check that is not in the flow.

Overview

If a company arrived as a document rather than as a number, this is the route. You upload the certificate of incorporation and the platform reads the legal details out of it — the legal name, the legal form, the registration details. You do not type them.

Two steps, and then one check that is not part of the flow but matters more than either of them.

Before you start

You will need the company's certificate of incorporation — a KBIS for a French company — and a category for it, such as BidCo or ManCo.

This route is built around a French registration extract. For a non-French company, manual entry with the registration country set is the surer path.

Steps

In the project navigation, open Companies. Select Create Company, then choose the KBIS route.
Choose the Category.
Upload the certificate of incorporation, and wait for it to be read.
Continue to Contact Person. Enter the main contact, or skip it.
Select Create.
Open the new company's details and check the legal information against the document.

Why step 6 is not optional

The platform reads the legal details from your document and creates the company with them. It does not show you what it read before creating the company — there is no review step in this flow.

So the legal name, legal form and registration details on that record arrived from an automated reading of a document, and nobody has confirmed them.

Those same fields feed generated legal documents. An extraction error becomes an error on paper that someone signs.

Make it a habit: after creating a company this way, open its details and read the legal information beside the KBIS. It takes thirty seconds, and it is the only point at which a person checks what was extracted.

When this is the right route

When the KBIS is what you were sent. A company often arrives from an adviser as a document rather than as a number, and this route takes it as it comes.

When you have the document but not the identifier to hand. Quicker than finding the SIREN first.

Common problems

The document was not read. Check it is a certificate of incorporation rather than another document, and that it is legible. A poor scan is a poor input.

A legal detail is wrong on the company record. Correct it on the company's details. The extraction was a starting point, not an authority — the source document is the authority.

The company is not French. This route is built around a KBIS. Use manual entry and set the registration country.

You expected to review before creating. You cannot, in this flow. Review afterwards.
